Job Description
SmithBucklin is looking for an HR Generalist that will provide HR consultation and support for employee relation issues, recruitment, employee on-boarding and off-boarding, compensation, benefits, and special projects. Assist in identifying and proactively guiding employees to successful resolution of their employment concerns, escalating and referring issues to the HR director as appropriate. Interpret and respond to general employee inquiries regarding benefit and employment policies, escalating or referring specific issues to subject matter experts in the Chicago office. Ensure smooth and professional on-boarding and off-boarding of incoming/exiting staff. Ensure accurate, timely, proactive, and legally compliant administration of core HR transactions. Assist HR Director with coordination and implementation of local or corporate-wide HR initiatives and activities including, but not limited to: wellness programs, orientation, employee recognition events, training and development events, and social/philanthropic staff activities. Support recruitment activities.
Role/Responsibilities:
Employee Relations
Assist core professional employees to address and resolve workplace concerns
Respond promptly and with accuracy to routine requests for information on SmithBucklin policies and procedures, employment verifications, unemployment information, etc.
Conduct and document entrance and exit interviews for staff as assigned, following up with HR Director on areas of concern
Coordinate and participate in employee recognition and SmithBucklin people care events
Monitor intern experiences and coordinate intern development activities; make recommendations to HR Director for improvements to internship on-boarding and training
Orientation/On-boarding
Facilitate new hire orientation and co-facilitate quarterly new hire breakfasts
Coordinate orientation schedules, presenters, logistics
Ensure completion, accuracy, delivery and maintenance of new hire documentation, such as payroll/benefit enrollment; I-9 and e-Verify confirmations
Maintain orientation supplies including order/receipt of orientation binders, new employee gifts
Coordinate scheduling and logistics for quarterly new hire breakfasts
Recruitment
Interview core professional candidates
Participate in recruiting fairs on college campuses
Coordinate all facets of the SmithBucklin Intern Program, including sourcing, selection, marketing, training & development, and evaluation
Assist in candidate management (e.g. meeting/greeting/warming up candidates interviewed locally; closing interviews and exiting candidates)
Assist in debriefing MPP results with hiring managers
Administrative
Ensure integrity of employment records throughout employment life cycle, to include: personnel file set up and routine filing/maintenance of accurate and timely documentation of all personnel actions (hire, promotion, salary increases, change of status, performance reviews, departures), and archive files appropriately upon employment termination
Administer the DC offices six-month performance review process
Issue accurate and timely new hire/separation notices
Provide local support for Learning Center and other training events, including ensuring communication with Learning Center facilitators, assuring readiness of meeting space/AV needs, placement and receipt of catering orders, verifying package or materials receipt and assessing package contents for all programs/events
Provide administrative support to DC HR Director as needed/assigned
Order/maintain HR supplies; perform routine copying, faxing/filing/mail distribution and package delivery for HR dept
Process HR department invoices for payment, securing appropriate approval, confirming accurate GL coding; preparing and submitting timely expense reports
Liaise between HR and finance staff on expense reimbursements, GL coding, and resolution of expense/invoice issues
Job Requirements
Qualifications:
Bachelors degree required; PHR or related professional certifications preferred
Three years experience in staff-facing HR support roles, (employee relations, recruitment, benefits administration)
Demonstrated success applying initiative and sound judgment to inform and escalate employee issues appropriately
Client service/solution-focused orientation
Experience auditing, implementing or streamlining HR administrative processes for efficient and optimal work flow
Experience utilizing HRIS and applicant tracking systems/data (examples: VE, HRB)
Proven work ethic, including: initiative, self-management, follow through on assigned tasks
Experience in professional services or consulting firm supporting a matrixed work environment
Knowledge:
Understanding of local and federal employment regulations
Familiarity with usual/customary employee benefit offerings
Skills:
Rapport-building, interpersonal efficacy to interact easily with staff at all levels
Detail orientation, with a consistent focus on thoroughness, completion and high quality results
Organization: proactive time/project/resource management, and on-time deliverables
Effective written and verbal communication skills
Proficient in using business technology and software, including MS Office suite
Ability to quickly learn and operate new software and technology
Ability to maintain confidentiality of HR/personal data
