The Student Trainee (EEO Assistant) serves has full responsibility for tracking and administrative control for incoming and outgoing communications for the Office of Resolution Management (ORM). This is accomplished by maintaining correspondence control, tracking records, and suspense files on electronic and hard copy file storage to ensure timely reply and action. This includes processing mail, fax, electronic records and case file management in accordance with internal policy and regulatory guidelines. The program assistant is responsible for identifying and distributing controlled correspondence to the field/program manager, administrative officer or technical staff for action in a timely and efficient manner to prevent any negative impact on process and/or response time. Reviews and prepares correspondence. Maintains data in CATS and other systems by ensuring appropriate correspondence is scanned into correct tabs and data entry fields are complete and accurate as stated in documents prepared for release. Identifies incoming EEO complaint documentation and reviews electronic case file (CATS) to ensure documents correspond to previous data and are assigned to the appropriate technical specialist for processing. Prior to electronic transmission or mailing of all correspondence, the program assistant verifies the recipients address is correct and matches Equal Employment Opportunity Commission (EEOC) and regional counsel locations (when required); and properly updates data and scans a copy of documents to CATS. In the absence of the team leader, the assistant prepares, compiles, and reviews recurring reports. The program assistant reviews outgoing correspondence for appropriate conformance with VA regulations, grammar, format, and general policies of ORM. Advises the administrative officer and/or field manager of any problems encountered in the review. As appropriate, performs a varied and full range of procedural, office management, time keeping and administrative support in support of the Office of Resolution Management.

Skill in written and oralcommunication to write letters, memoranda, reports and to clearly explaincomplicated regulations, procedures and concepts to persons inside or outsideof the agency.

PHYSICAL REQUIREMENTS: The position is primarily sedentary in nature. Work is performed in an office setting, there may be some bending, light lifting, standing and sitting for long periods of time.
