Project Coordinator at Washington

Job Description

Position: Construction Project Coordinator

Position Purpose: To provide administrative support to assigned personnel within the Construction Group of Jones Lang LaSalle.

Training & support: Extensive training and support is provided by Operations and Finance; includes policies & procedures, Lotus Notes and Solomon software

Responsibilities:

General office: 
1. Coordinate and supervise clerical/secretarial support function for Construction Managers.  May include:  Schedule meetings/conference rooms (including specifics), maintain calendars, etc.
2. Prepare proposals for new work as required.
3. Type general correspondence, memos, transmittals, etc. for assigned personnel to include vice president, construction managers, estimators, and field personnel.
4. Open, date stamp, and sort incoming mail; prepare all outgoing mail. 
5. Order supplies for both office and field locations. 
6. Answer telephones for assigned management personnel 

Projects:
1. Process all change requests for extra work as required by Construction manager/tenants/owners.  
2. Process the monthly application for payment to the owner for each project under construction for all assigned construction personnel.   May only relate to notarization of application for payment.
3. Process all contracts, purchase orders, and change orders for all projects under construction for all assigned construction personnel.  Documentation generated by Construction Manager.
4. Maintain an extensive job file system on a daily basis.
5. Prepare GMP books as requested by the construction managers.
6. Prepare Owner’s contractual documentation using the AIA and AGC software as required and as generated by Managing Director, Construction Manager and Legal.
7. Maintain scanned directory of Owner agreements (LOI, Contracts, Amendments, etc.)
8. Maintain commitment tracker of subcontracts/purchase orders issued

9. Obtain W-9’s for new vendors and request new vendor set up through Delphi Address Book
10. Compare vendor/subcontractor invoices to purchase orders or subcontracts.  Code for processing by AP.  Verify history on commitment to ensure billing is accurate.
11. Facilitate collection of monthly time sheets from Construction personnel.
12. Marketing coordination

Special Projects:
The following projects are to be the responsibility of the construction coordinators as a team and will be distributed based on availability of the construction coordinators:
1. Work with reprographics vendors to ensure that all work is being picked up and executed in a timely manner.
2. Work with office manager to ensure that all construction office equipment is being maintained and serviced as needed (i.e. blueprint copiers, plotters).
3. Assist in gathering required information for payment (i.e. insurance certificates, waivers, etc) as requested.
4. Maintain telecom ordering and service.
5. Maintain a central filing system for all owners’ contracts for current and past projects.  Log required information into the contracts database and provide a copy for the file.
6. Maintain and perform subcontractor insurance administration
7. Projects require the use of several different computer systems:
• Microsoft Word
• Excel (spreadsheets)
• Solomon Financial Software*
• AIA and AGC Construction contract software*
• Lotus Notes Construction Management IMPRESS and Job Cost databases*
*Training will be made available.

Job Requirements

Requirements:
• College Degree, or equivalent experience
• 1-3 year’s related experience
• Excellent computer skills
• The ability to work in fast paced environment, under time constraints. 
• Detail oriented, organized, the ability to multi-task and prioritize tasks
• Customer service oriented; strong verbal and communication skills
• Team Player
• Training to be provided
